Four figures to start with

The date, the number of people, the format and the room. With those four, reservations can answer in one reply rather than four.

Three hire spaces, taking ten people to a hundred and forty. All three are inside the hotel, so delegates who stay the night do not leave the building. Fifty-four of the 64 rooms can be held for a single event.

Delegate rates include morning and afternoon tea and a working lunch in The Greenstone Room. Room-only rates include the equipment above but no catering.

From enquiry to arrival

How it runs

  1. Enquiry. Date, numbers, format, room. Answered the same working day with availability and a figure.
  2. Hold. The room is held for fourteen days at no charge while the details settle.
  3. Agreement. One page: rooms, times, catering, equipment, accommodation, cancellation. Signed and returned.
  4. Deposit. Twenty-five per cent, or the first night on any accommodation attached.
  5. Detail. Final numbers seven days out, dietary requirements five days out, running order three days out.
  6. Day. Room set the previous evening. A named contact on site from 7.30am.
  7. Invoice. One account, issued within three working days, on 20th-of-the-month terms.

Things organisers ask before the site visit

Is there parking for delegates?

Forty-eight open bays and six covered, free, no permit. Coach parking on the north side of the car court takes two full-size vehicles. Two bays carry EV chargers.

Can the room be split?

The Dart Room divides into two with an acoustic wall, giving 78 m² and 54 m². The wall takes twenty minutes to set and cannot be moved during a session.

How far is the airport?

6.4 km, about nine minutes by road. The hotel shuttle meets scheduled arrivals with 24 hours of notice, at NZ$28 per car each way.

Is the venue accessible?

Step-free from the car court to all three rooms by lift. A hearing loop is installed in The Dart Room and The Rees Room. Full detail is on the accessibility page.

Can delegates use the casino floor?

The Walter Peak Room is open to anyone aged 20 and over on production of photo identification. It is never part of an event package, and gaming is never charged to an event account.

What happens to the terrace in bad weather?

Half the terrace is roofed and heated. Any function planned outside has an indoor room held for it at no extra charge, and the call is made by 2pm on the day.
